Payment Methods
These payment terms apply to orders and commissions placed with Octiware, Michael Pfeil, unless otherwise agreed in an individual quote.
1. No instant purchase / individual quote process
Octiware does not operate a conventional online shop with automated instant purchasing. Every order is prepared individually.
The general process is:
- You submit an enquiry.
- We discuss your intended use, budget, and technical requirements.
- Octiware prepares an individual quote on this basis.
- You review the quote and may ask questions or request changes.
- A contract is only formed once you accept the quote and Octiware confirms the order or — with your express consent — begins execution.
- Execution generally begins only after full receipt of payment.
2. Prices
All prices are shown in the individual quote.
For consumers, all stated prices include statutory VAT where applicable. Any additional shipping costs, packaging costs, insurance services, or other order-related costs are shown in the quote before the contract is concluded.
A quote may include in particular:
- Hardware and accessories,
- Consultation and technical planning,
- Assembly, integration, and cabling,
- Special services such as Direct-Die, Delidding, Custom Water Cooling, Custom Cables, Overclocking, Undervolting, OS setup, or data migration,
- Test runs, documentation, handover or shipping preparation,
- Risk, complexity, or project surcharges where applicable in individual cases.
The display of example configurations, example prices, "from" prices, or technical possibilities on the website does not constitute a binding offer. Only the individual quote is authoritative.
3. Payment methods
The available payment methods are stated in the respective quote.
The following payment methods may generally be offered:
- SEPA bank transfer (advance payment),
- PayPal, if offered for the respective order.
There is no entitlement to a specific payment method. Octiware may restrict payment methods depending on the order, order value, risk, technical availability, or other objective reasons.
No unlawful surcharges are imposed on consumers for legally protected standard payment methods.
4. Advance payment
Orders are generally only executed against advance payment.
The procurement of hardware, binding reservation of components, and the performance of assembly, modification, setup, optimisation, testing, or documentation services generally begin only after full receipt of payment, unless expressly agreed otherwise.
This is required in particular because many orders are individually planned, assembled specifically for the customer, or technically prepared in a special way.
5. Payment by SEPA transfer
If payment by SEPA bank transfer has been agreed, you will receive the bank details with the quote, the order confirmation, or the invoice.
Please state the reference shown on the invoice or order confirmation when making the transfer so that the payment can be allocated correctly.
The order is considered paid only when the full invoice amount has been received in the specified account.
6. Payment by PayPal
PayPal may be offered as a payment method depending on the order. Whether PayPal is available for a specific order follows from the respective quote or invoice.
When paying via PayPal, the PayPal terms of use and payment conditions also apply. Payment processing is carried out via PayPal. Octiware receives the payment information required for payment allocation.
Please use PayPal only via the payment link or payment route communicated by Octiware and state the reference or invoice number provided.
7. Payment deadline
The payment deadline follows from the individual quote, the order confirmation, or the invoice.
Unless a different deadline is stated therein, the invoice amount is due immediately upon receipt of the invoice without deduction.
If the invoice amount is not paid in full within the stated deadline, Octiware may put the order on hold. For quotes not yet accepted, Octiware may prepare a new calculation, in particular if the availability or prices of hardware have changed in the meantime.
8. Hardware prices and availability
Hardware prices and availability can change at short notice. As long as no contract has yet been concluded, price and availability information is therefore only binding within the scope of the specific quote and only for the validity period stated therein.
After the contract is concluded, the agreed prices apply, unless subsequent changes are commissioned by the customer or become necessary.
If an agreed component cannot be sourced after the contract is concluded, or only with disproportionate effort, Octiware will inform the customer and agree on a suitable solution. This may in particular be an equivalent replacement component, an adjustment to the order, a later delivery, or a reversal of the affected item.
9. Order changes after payment
Requests for changes after acceptance of the quote may affect price, delivery time, technical feasibility, and withdrawal status.
Additional services, higher-quality components, special requests, or subsequent changes will only be implemented if confirmed by Octiware. Any additional costs will be communicated before implementation and may require an additional payment prior to execution.
If individual items are removed or cheaper alternatives are agreed, any difference will be taken into account in the final settlement or refunded.
10. Refunds
Any refunds are generally made using the same payment method that was used for the original payment, unless expressly agreed otherwise and provided this does not incur additional costs for the customer.
Refunds may in particular arise in the case of:
- Valid withdrawal,
- Valid reversal of contract,
- Unavailable hardware with no suitable replacement,
- Mutually agreed reduction of the order scope,
- Accidental overpayment.
The statutory rights of the customer remain unaffected.
11. Right of withdrawal and payment
Consumers may generally have a right of withdrawal in distance selling contracts. Details follow from the withdrawal policy.
For custom-made goods, the right of withdrawal may be excluded if the statutory conditions are met. This applies in particular to goods that are not prefabricated and for whose manufacture an individual selection or specification by the customer is decisive, or which are clearly tailored to the personal needs of the customer.
For services, compensation for value may be due under the statutory conditions for services already performed, if the customer has expressly requested Octiware to begin performance before expiry of the withdrawal period.
Payment by advance payment does not automatically exclude statutory rights of withdrawal. Conversely, a validly excluded right of withdrawal for custom-made goods remains excluded even if payment was made in advance.
Statutory warranty rights are unaffected by the right of withdrawal and these payment terms.
12. Warranty rights and return costs
These payment terms do not limit any statutory warranty rights.
In the event of a legitimate defect, the statutory provisions on supplementary performance and cost allocation apply. Returns in connection with a possible defect should be arranged in advance with Octiware so that a transport-safe return can be organised and unnecessary damage avoided.
In the event of a valid withdrawal without a defect-related reason, the provisions of the withdrawal policy apply, in particular regarding return costs and refund.
13. Invoices
You will receive an invoice in text form, generally by email.
The invoice contains in particular:
- Name and address of Octiware,
- Name and address of the customer,
- Invoice number,
- Invoice date,
- Description of services,
- Price components,
- VAT information where required,
- Amount payable,
- Payment deadline,
- Payment details.
Please check the invoice upon receipt and notify us promptly of any obvious errors.
14. Retention of title
The delivered goods remain the property of Octiware until full payment has been received.
For customer-owned components, the customer's ownership remains unaffected. If customer-owned components are connected to or installed together with hardware supplied by Octiware, the statutory provisions and the agreements made in the respective order apply.
15. No financing / no instalment payment
Octiware currently does not offer financing, purchase on account after delivery, or instalment payment, unless expressly agreed in individual cases.
16. Payment security notes
Please make payments only to the payment details stated by Octiware in the quote, order confirmation, or invoice.
Octiware will not ask you to make payments to unknown third parties, private external accounts, or payment addresses that cannot be traced.
If payment details appear suspicious to you or you receive an unexpected change of bank details, please contact Octiware before making payment via a contact channel you already know.
